Overview
Learn to create a real estate closing on the Notarize platform. This article walks through the entire process for Title Agents, from the first click to the confirmation email, whether you place orders through Notarize Closing Operations or send transactions directly to your signers.

Steps
Step 1
Start a new closing
- Log in to your Notarize account.
- Choose My closings from the upper right corner.
- Do you use Notarize Closing Operations?
- Yes: Click
- No: Click
- Select Real Estate Closing from the dropdown.
Step 2
Type of closing
Indicate if you are initiating a closing for a cash buyer or if this is a seller-side transaction.
Step 3
Provide property address to begin eligibility check
- Street address
- Apartment, suite, etc. (optional)
- City
- State
- Zip
- Country
Eligibility error messaging
No eRecording location for this property
County cannot eRecord, no paper out option

Step 4
Indicate whether or not you are issuing a title policy:
- Yes: Go to Step 5
- No: Go to Step 6
Step 5
Add the underwriter
Since you are issuing a title policy, you must provide the name of the title underwriter.
Error message when no underwriter is found to insure this loan
No Notaries available
The "No Notaries available" error may appear if the underwriter only insures loans when the RON is completed by a Notary commissioned in a specific state and there are no Notaries available in that state. This could occur when the Title Agency has no In-House Notaries (IHN) from that state and/or Notarize does not have On-Demand Notaries (ODN) commissioned in that state.
Step 6
Continue with eClosing
At this point, if you have not selected Hybrid, you can continue with a fully online closing.

Transaction details
Provide additional transaction details:
- File Number (only required if you are not using Notarize Closing Ops)
- Loan Number
Step 8
Closing team
Add members of your closing team. This includes anyone supporting the transaction.

- Check the Visible to signer box unless you want to hide the contact information from your signers

Step 9
Signer details
- Provide signer details:
- Vesting type
- Name
- Email address
- Phone numberÂ
- Indicate if the signers are signing in a representative capacity
If the signers are signing the documents on behalf of someone else
- Check the box next to This is a representative signer
- Type the name of the person or entity the signer is signing on behalf of
- Select the signer's capacity from the Type of capacity dropdown
Capacity options
Attorney-in-fact Corporate Officer Guardian or Conservator Partner (General) Partner (Limited) Trustee Other   - If any of the documents require more than one signer, select Yes under Does this transaction require additional signers?
- This does not include witnesses. Witness requirements can be added later.
- Indicate if the signers need a secondary ID by selecting Yes under Will the signer(s) need a secondary ID?

Step 10
Signing schedule
Select a date range/window or schedule the closing:

Indicate what type of Notary will be used:
- Internal notary: Also known as In-House Notary (IHN)
- Notarize: Also known as On-Demand Notary (ODN) networkÂ
If you're using an internal notary, you can select a specific person to be assigned or choose Unassigned from the dropdown to allow any notary from your team to handle this closing.

Step 11
Prepare documents
Upload documents:
- An eSign Consent and Disclosure form automatically appears on every transaction:
- The eSign Consent and Disclosure form is also attached at the bottom of this procedure.
- You must add at least one additional document to proceed.
Are you using Notarize Closing Ops?
- Yes: Go to Step 12
- No: The documents automatically open for you to tag and prepare:
- Review Tagging Documents for more information on self-tagging and using white-text tags.
- Note: You can add a witness requirement by clicking the "eye" icon in the top right menu above your documents.
Step 12
Special instructions
Before sending the transaction, you have the option to add any special instructions or notes:
- Add a personal note to your signers
- Add instructions for the Notary or the Notarize Closing Operations Team (if applicable):
- If you send transactions to Notarize Closing Ops, use this box to indicate if a witness is required. The Closing Ops Team will add this requirement to your documents.
Step 13
Send the transaction
Are you using Notarize Closing Ops?
- Yes: Click
- No: Click
After you send the transaction, you'll receive a confirmation email.
View email: Orders are placed to Notarize Closing Ops
View email: Transactions are sent directly to signers
