Adding colleagues to join your company's Notarize account allows your team to keep all transactions in one central location. Each member can create and send transactions and access completed transactions, including transactions created by other team members. This allows for ease of access to all of your company's closings!
If you are the Admin or Owner on an account, you can add or remove new team members, make someone an owner or admin, and manage permissions.

Invite new team members
- Log in to your Notarize account:
- Select Team from the upper right corner of the screen.
- Select the Invite New button on the left.
- Type the new member's first name, last name, and email address in the Invite a New Member pop-up window that appears.
- Select the member's role from the dropdown menu:
- 📝 Note: If your account allows you to use your own In-House Notaries, you’ll be asked if the team member will be notarizing documents. If yes, select the state your notary is commissioned in and the language(s) they speak fluently.
- Click Send Invite.
At this point, the new team member receives an email from noreply@notarize.com prompting them to create a password for their account. Once they have done so, their user name moves from the Pending tab to Active, and your colleague may start sending transactions from your account.
Remove team members
- Log in to your Notarize account:
- Select Team from the upper right corner of the screen.
- Select the three vertical dots next to the member you want to remove.
- Click Disable Account.
- Click Confirm.
Assign an Account Owner
Only a current Admin on the account can assign a new owner.
Notes:
- Accounts can have multiple admins but only one owner.
- An owner is required for every account or parent account. An owner is not required for child accounts linked to a parent account.
- Log in to your Notarize account:
- Select Team from the upper right corner of the screen.
- Find the team member from the list that appears. (This is the team member who will become the owner.)
- Select the three dots next to the new owner's name.
- Select Edit Role & Permissions from the menu that appears.
- Select Owner from the dropdown menu in the Edit Permissions window that appears
- Click Save Changes.
