When questions arise, signers can reach out to their Real Estate contacts before or during the Notary meeting without leaving their documents or the meeting!
Contacts are non-signing individuals added to transactions to notify them of progress, let them participate in the meeting, and help the signers.
Currently, only Lenders and Title Agencies can create transactions with contacts on them.

Nice to Know
The Title Agent who places the Order via Place An Order (PAO) adds the appropriate contacts to the transaction.
Closing Ops does not change/edit/delete any contacts unless the Title Agent instructs us to do so.
Signer Visibility
If you don't want to share your closing team contacts with your borrowers/sellers (signers), simply leave the Visible to Signer box unchecked. Your team will receive transaction status notifications and remain hidden from the signer.
Signers only see contacts checked off as Visible to Signer.
How To Add Contacts
- Go to Closing Team under the Transaction Details section.
- Select Yes, and input the contact information.
- Select the contact’s role when prompted.
- Select Other and input the role if the role is not listed.
Email Notifications to Contacts
All contacts listed on a transaction receive status updates via email at the following points in the process:
- Once the transaction is sent to the signers
- When the signers start the Notary meeting
- When the signers complete the Notary meeting
Transaction Sent to Signer
Listed contacts are notified once the transaction is sent to the signers.
Meeting Started
These contacts are the only contacts with the option to Join Meeting:
- Title Agent
- Real Estate Agent
- Mortgage Broker
- Attorney
Meeting Completed
The signer receives an email with the closing details.
Signers
The signers receive an email when the transaction is sent. Contacts listed as Visible to Signer appear in the email.
When the signer logs in to begin signing, they see the Contacts for this transaction before accessing their documents. Only contacts marked Visible to Signer are shown.
When the signers start the meeting and begin the Sign Ahead process, they see:
- Contacts marked visible to the signer listed on the left-hand side.
- Contact’s email or phone number (if provided).
Signers can reach out to their contacts if they have any questions.
Once the signer connects with a notary, the signer’s side of the call has the contact information at the bottom left-hand of the screen under the videos.
The Borrower can quickly call any contact added during the transaction setup process by clicking the phone icon on the Connect tab for that person if the phone number provided was marked visible to the signer.
The signer decides who they need to contact and clicks the phone icon next to that individual.
The signer then begins the connection process. The phone icon starts spinning, which indicates they are calling the intended person.
When the individual connects to the session, the phone icon turns red.
