Place an Order from ResWare to Notarize

The ResWare Integration with Notarize allows Title agents to submit orders from ResWare and receive completed documents back into their ResWare instance.

Procedure

The Title agent in ResWare can set up actions to streamline the process of placing orders from ResWare to Notarize. Adeptive Support can assist with setting up these actions. The Title agent can also perform these actions manually from the XML and Documents tab on the file in ResWare.

1. Send Order: This must be the first action completed. This creates a transaction shell in Notarize and is not viewable on the Notarize platform. You will not be able to perform other actions before sending the order to Notarize.
   
   
2. Send Signings: This creates a draft transaction with all Signer details in Notarize. This will appear as a ‘draft’ in the Title Agency Notarize account.
   
   
3. Send Documents: *Note only perform this action if your Title Agency submits orders to Notarize Closing Ops and does not send directly to signers or utilize a BYON (Bring Your Own Notary) workflow (see Sending Directly to Signers below).  
   • This action adds documents to the transaction and places the order to Closing Ops.
   • In Notarize the transaction status will appear as ‘Order Placed’. From here Notarize Closing Ops will quality check the transaction and documents and send to the Signer(s).
     

Sending Directly to Signers

If you are sending transactions directly to signer(s) rather than submitting orders to Notarize Closing Ops, then you will not send documents from ResWare. You will need to complete the ‘Send Order’ and ‘Send Signings’ actions. You would then need to login to Notarize, open the draft transaction and add your title documents. After adding documents, you would click ‘Send Transaction’ to send the transaction directly to the signer(s). *Note: Please let Notarize know if you are sending to signers directly or not to ensure your Notarize account is configured properly.

Deleting and Recalling Transactions

Check the ‘Cancel’ checkbox on the ‘Signings’ tab in ResWare and send the signing over again to recall the transaction in the Notarize system. The Title agent can then uncheck the ‘Cancel’ checkbox later and re-send the updated signing.
