A guide for Adobe Sign customers to learn how their notaries will complete a meeting on the Notarize platform from start to finish!
Need to Know
Notaries are notified of upcoming meetings via SMS once the signer opens the document and fills out their information.
It is highly recommended for notaries and signers to coordinate the date and time of their notarization meetings to ensure the availability of both parties.
📝 Note: Turning on the optional Overflow feature allows your signers to meet with an independent contractor from the On-Demand Notary Network if they’ve been waiting in the queue:
- If you select "Personally Known to Notary" as the form of identity verification, overflow is not available on that transaction. See Adobe | Personally Known to Notary
Step 1
To start the notary meeting, visit https://notary.notarize.com/login and log in to the business portal using their credentials.
Step 2
Once logged in, the notary selects the green Let’s GO button to start their shift. Notaries are then prompted to check and confirm their audio & video settings.
Step 3
After confirming audio & video settings, the notary lands on their homepage, as shown below. Their signers will be queued in the Business Session in the upper right-hand box.
Notaries will hear a ring, notifying them that a signer is waiting in the queue. To start the meeting, the notary selects the name of the signer.
Step 4
After selecting the signer’s name, a new window opens and the remote notary meeting begins. The notary should start by checking the ID of the signer:
- If the notary indicates that they personally know the signer, skip to Step 6

To check the signer's ID, the notary selects the 3 dots underneath the signer’s video box and chooses Check ID from the dropdown. (In the image below, the signer's video box is labeled "S".)
Step 5
Next, the notary is prompted to verify the signer’s ID:
- It is the notary's responsibility to confirm that the person appearing before them is the same person on the identification provided.
Once finished, the notary exits the ID verification window by first selecting the Complete ID Validation button, then Exit Identity Verification.
Step 6
Now the notary can begin notarizing the document with the signer. When finished, the notary selects the green Complete button to end the meeting at the top of the page.
📝 Note: If the notary tries to end a meeting with missing fields and/or requirements a window appears asking them to choose to complete the meeting or return to the meeting.
Step 7
Upon completion, the notary is returned to the Send + Manage tab on their Notary Profile page. They can access the notarized document by selecting the transaction and downloading it from the Documents Tab.
If the notary needs to cancel or terminate the meeting, they can select the Terminate button in the upper left-hand corner.
There will be no charge for a terminated meeting. Only completed transactions will incur charges.
