Sign a Document from a Business Requiring Multiple Signers

There are a few options for completing a notarization initiated by a company you are doing business with when documents need to be signed by multiple parties:

1. Co-located: Signers are in the same room and joining the same notary meeting together on one device (computer or mobile).
2. Split Signing: Signers are in different locations and are either unable or unwilling to join the same online notary meeting. Separate notary meetings take place, and fees are paid for each meeting. (Also known as Sequential Signing.)
3. Concurrent Signing: Signers are in different locations and join the same notary meeting from separate devices simultaneously. If a signer starts a Concurrent Signing and they choose to move forward instead of waiting in the Waiting Room, it becomes a Split Signing:
   • You will be unable to add annotations before a Concurrent Signing. All annotations must be made during the meeting.
   • If your co-signers are not available simultaneously, or you want to use the Sign Ahead feature, opt for Split Signing. (Sign Ahead is only available for Real Estate transactions at this time.)

Signers are in Different Locations

1. Each signer receives an email from noreply@notarize.com.
2. Select the button/link in the email to be directed to your transaction at app.notarize.com.
3. When a transaction is initiated as a multi-signer transaction with individual emails, you'll be directed to the Who is Signing? screen.
4. Select Join Now to join the notary meeting:
   • You'll enter the virtual waiting room to wait for the other signers to join.
   • If you select Continue without others, you'll move past the waiting room to start a notary meeting on your own. (This is now a Split Signing.)
5. Once all signers are in the waiting room, you're automatically moved to the meeting queue to wait for a notary to pick up your call. (This is a Concurrent Signing)

Signers are Co-Located

Once the signers are in the meeting with the notary, they will see each other on separate video feeds. 

1. Each signer receives an email from noreply@notarize.com.
2. Select the button/link in the email to be directed to your transaction at app.notarize.com.
3. Select the blue Continue button to see your options for which signers are ready.
4. Select which of the additional signers on the transaction are physically present with you now:
   • The signer who clicks on the email in Step 1 will automatically be selected and must be present before moving forward. If you are not that person, please contact support@notarize.com.
5. Once you've selected all signers who are physically present with you and are ready to use the same device to complete your closing documents, select the blue Start signing button.
6. Review the documents in your closing package and fulfill any signature flags which do not require the presence of a notary. (This is not an option if you are using Concurrent Signing)
7. Complete a quick tech check for your device.
8. Each signer will be prompted to verify their identity using personal details (first name, last name, last 4 digits of U.S. SSN, and most recent U.S. Address of residence).
9. Each signer will be prompted to capture their Photo ID using your device's camera.
10. Select Join a live video session with a notary to complete your document package!
