You can leverage templates to automate document preparation of general standardized forms and forms pre-generated with signer information. Templates are also used in EasyLinks.

Use document templates in a transaction
There are several ways to use document templates in a transaction. Click to expand the approach you'd like to learn about:
Template upload
Select templates when sending transactions
Next time you have a blank form to send that you've already templated, choose Template Upload to add it to your transaction. The document template containing pre-placed tags will be added to the transaction. No manual tagging needed!
Individual document upload
Individual documents can be automatically tagged
Click Upload a Document, and we will attempt to match a template to your document for auto-placing signature and notary fields (where applicable). If no template match is found, no fields will be applied.

Signer upload via EasyLink
Documents uploaded by your signers can be auto-tagged
Leveraging templates to auto-tag documents uploaded by your signers is specific to Signer Upload EasyLinks.
If you've created templates for your organization, we will attempt to match them to documents uploaded by your signers and automatically place signer and notary tags (where applicable). This helps guide signers through the signing process by auto-placing tags for them.

Template matching for auto-tagging can also be leveraged on documents individually sent through the Notarize Business API.

This feature must be enabled by Notarize. Please contact Customer Support at support@notarize.com to request this feature for your account. If you were assigned a Customer Success Manager (CSM), work with your CSM.
💡Helpful Tip
The External ID field (found under Transaction Name > Advanced Options) is useful if your organization has an internal numbering system or manner of tracking that would be helpful for you to include on each transaction. The External ID is visible when you export any transactions that have the External ID.
Limitations
Business template matching limitations:
- This feature does not:
- Split document packages. Template matching can only be used on individually uploaded/sent documents.
- We do not match documents with templates if their page counts differ.
- We do not match documents greater than 25 pages to templates.
- If you have multiple documents set up in one template, we will only attempt to match the first document in the template list to an incoming document.
